What is a job card in South Africa?

A job card (also called a works order or field service report) is the document that records everything that happens on a service job: who the customer is, what site the work was done at, what work was done, which parts were used, how long the technician was on-site, and the cost. In South Africa, job cards are used across plumbing, electrical, HVAC, pest control, cleaning, security, and landscaping businesses. A completed job card is the basis for the invoice and also serves as the record if a customer later disputes the work done.

What fields must a job card include in South Africa?

There is no legal minimum, but a professional job card should include: job card number, date, customer name and contact number, job site address, nature of the fault or request, work performed (description), parts and materials used, labour time and rate, technician name and signature, customer signature (acceptance of work), and total cost including VAT. For electrical work, the CoC number is also typically included.

Is a signed job card legally binding in South Africa?

A job card signed by the customer acknowledging the work performed and the quoted price is generally considered evidence of agreement to pay. While it is not a formal contract in the legal sense, it is admissible as evidence in a dispute. Courts and the National Consumer Tribunal have recognised signed job cards as support for invoice claims. For high-value jobs, a separate written quote and acceptance is recommended before work commences.
