The problem we are solving
Most South African field service businesses run on WhatsApp groups, Excel spreadsheets, and paper job cards. When a plumber gets a callout at 7am, the process typically looks like this:
- 1.Customer calls the office. Job details are written on a notepad or typed into a WhatsApp message.
- 2.The dispatcher calls two or three plumbers to find one who is free. This takes 15 minutes.
- 3.The plumber shows up. No paperwork. Quote is done verbally or on a scrap of paper.
- 4.Job is done. Invoice is typed up manually from memory, days later.
- 5.Customer disputes the invoice. There are no photos. No quote approval. No signed document.
This is not a small business problem. It is how even large, established SA trade businesses operate today. The result is unbilled labour, disputed invoices, missed maintenance visits, and a dispatcher who spends their entire day on the phone instead of managing the operation.
What we built
WorkOrderPro replaces the WhatsApp group, the Excel schedule, and the paper job card with a single platform that runs on a web dashboard in the office and a mobile app on the technician's phone.
Dispatch board
Drag-and-drop calendar view of all technicians and all jobs. Assign jobs, change priorities, and see the status of every technician in real time.
Mobile job card app
Offline-first Android and iOS app. Clock in, capture photos with GPS, build quotes, log parts used, and complete jobs — without needing a signal.
On-site quote builder
Build itemised quotes on-site and get the customer's signature on the technician's phone before starting work. Verbal approval is audio-logged.
Job photos with tamper protection
Six photo stages from assessment to completion. GPS-stamped on capture. SHA-256 hash-verified on upload. Immutable after the job starts.
Time tracking
Clock in and out on every job, per technician. Billable hours flow directly to the invoice. No manual re-entry of hours.
Auto-invoicing
The moment a job is marked complete, the invoice is generated from time entries, parts used, and approved quote line items. No manual typing.
Design decisions made for South Africa
Offline-first mobile app
Load shedding is real. Stage 4 means 4-hour outages twice a day. A field technician cannot stop working because the app needs connectivity. WorkOrderPro's mobile app stores all job data on-device and syncs when connectivity returns. Every feature works without signal.
ZAR pricing through PayFast
Your subscription is billed in ZAR. There is no USD conversion, no exchange rate risk, and no foreign transaction fee on your credit card. Payments go through PayFast — the same gateway your customers already trust.
POPIA-compliant GPS tracking
GPS tracking of employees is subject to POPIA. We built consent management into the platform. Technicians are notified when tracking is active, explicit consent is recorded, tracking data is limited to working hours, and GPS records are purged after 90 days by default.
Android-first field testing
SA field technicians run Android. We design for the Android-first reality of the SA market — not iOS-first with Android as an afterthought. The mobile app is tested across low-end and mid-range Android devices common in SA.
