Capture the enquiry while the details are clear

A refrigeration contractor may receive an enquiry about a new maintenance site before the office knows enough to quote. Record the business name, contact person, phone or email and enquiry source. Assign an owner so the next conversation has a responsible person.

Keep the lead record focused on the prospect’s request. A source such as a website enquiry or referral explains how the conversation began; it does not prove that the contact has agreed to marketing messages. WorkOrderPro does not automatically send outreach from this workflow.

Move from first contact to a qualified opportunity

Use the new, contacted, qualified and lost stages to describe progress. Add a follow-up date and update conversation notes when scope, access or timing becomes clearer. Search the lead list when an enquiry returns through another channel.

For a South African plumbing or HVAC team, qualification might mean confirming the service area, the decision-maker and whether the request needs a site visit. The software records the stage you choose; your office decides whether enough information exists to proceed. Follow-up dates are saved planning fields, not automatic email sequences.

Convert without creating the same customer twice

Once qualified, create a customer from the lead or explicitly select an existing customer. The conversion keeps a link back to the lead and reuses the customer if the conversion is submitted again. If the email already belongs to a customer, the office must choose the existing record rather than silently merge businesses.

Continue into the existing customer and quote workflow after conversion. A lead conversion does not approve a quote, book an appointment or create an invoice. That separation gives the office a clear commercial checkpoint before field work begins.

Try the handover with one realistic enquiry
